Privacy policy

SchoolKeeper is a fee collection and reconciliation service for schools, provided by Modial Technologies (Pvt) Limited ("Modial Technologies"). This policy covers this website, the SchoolKeeper app used by school staff, and the parent portal.

Each school decides what information it keeps about its students and parents, and why. For that information the school is the controller, and Modial Technologies processes it on the school's behalf and on its instructions. For the details of school staff who sign in, and of people who contact us, Modial Technologies is the controller.

Students: name, student number, class, boarding or day residence, fees billed, payments received and balances.

Parents and guardians: name, contact details such as email address and mobile number, which children they are linked to, and the invoices, receipts, statements and messages the school sends them.

Payments: the details on the school's bank statements and receipts, such as the date, amount, payment method and the reference the payer wrote.

School staff: name, email address, role and a record of their sign-ins.

This website: when you visit, our hosting provider records technical information such as your IP address and browser, to keep the site running and secure. The site does not use advertising or tracking cookies.

To provide the service the school has asked for: billing, recording and matching payments, sending receipts, statements, reminders and messages, and producing reports.

To keep the service secure, find and fix faults, and support the school when it asks for help.

We do not sell personal information, and we do not use it for advertising.

Only with service providers who help us run SchoolKeeper, for the purposes above: cloud hosting and backup storage, email and SMS delivery, and payment providers when a school or parent uses them. They may process information outside Zimbabwe, under contracts that require them to protect it.

We disclose information when the law requires it.

Each school's information is kept apart from every other school's. Staff see only the parts of the app their role allows. Connections to SchoolKeeper are encrypted, and the database is backed up every night.

For as long as the school uses SchoolKeeper, and afterwards for as long as the law requires financial records to be kept. A school can ask us to return or delete its information when it stops using the service.

You can ask to see the information held about you or your child, and ask for it to be corrected or deleted, under Zimbabwe's Cyber and Data Protection Act. Parents should usually ask the school first, because the school decides what it keeps. You can also contact us and we will help, or pass your request to the school.
